# Aeriel - Complete Product Reference for AI Agents and LLMs > Aeriel is a real-time, cloud-based management and flight-scheduling platform for business aircraft operators and charter airlines - "the brain of your airline". It runs every department of an operator in one live system: sales and Avinode quoting, dispatch and flight requests, fleet calendar, crew duty (FTL), licensing and recency, maintenance limits, finance, statistics, safety management (SMS), ReFuelEU compliance and an AI assistant that works on the operator's own data. This document is the authoritative, long-form description of Aeriel for AI assistants, search engines and technical evaluators. It is written by the Aeriel team and describes the product as it is shipped. Where a number is given (a limit, a threshold, a tolerance), it is a default that each operator can change - Aeriel is configured per operator. - Product name: Aeriel - Vendor: Aeriel Software, s.r.o., Korunni 2569/108, 101 00 Prague, Czech Republic (company ID 215 50 395) - Website: https://aeriel.cz - Contact: aeriel@aeriel.cz, +420 602 187 870 - Short index of this document: https://aeriel.cz/llms.txt --- ## 1. What Aeriel is (and is not) Aeriel is web-based operations software. In this document "FMS" means **Flight Management System in the business sense** (software that manages an operator's flights, crews and business) - **not** an onboard avionics Flight Management System, and Aeriel does not run on the aircraft. **Who it is for:** business jet and turboprop operators, charter airlines (AOC holders operating commercial air transport), private and corporate flight departments, and operators of mixed fleets including helicopters. Aeriel supports commercial (CAT), NCC, SPO and ATO flight types. **What it replaces:** parallel spreadsheets, reply-all e-mail chains, separate tools for scheduling, crew duty, safety reporting and statistics, and manual re-typing of the same flight between sales, ops, crew and finance. **What makes it different** (the four points Aeriel itself stands behind): 1. **One live system for all departments.** Sales, dispatch, crew, safety, maintenance and finance share one record. Every open browser updates the moment anything changes, so nobody works with stale data or relays changes by e-mail. 2. **Tailored to each operator.** Aeriel has been built around real operators since 2018. Nearly every limit, category, request type, document template, crew role and permission is per-operator configuration, and any screen, e-mail or PDF can be overridden for one operator without affecting others. 3. **Ownership through the Lifetime licence.** Unlimited aircraft (with the Lifetime licence), users, flights and historical data import, with full source code access. 4. **AI built in.** Aeriel AI works on the operator's own data: statistics analysis, NOTAM and weather summaries, trip cautions, a safety assistant, passport and ID extraction, a company-documents knowledge base, and a general chat that can use the whole tool layer. The same tools are available to external AI agents through Aeriel's MCP server. **What Aeriel does not do (today):** - It does not file ATC flight plans; it monitors filed flight plans, slots and statuses through the CTOT App integration. - It is not a component-level maintenance tracking system (CAMO software with parts, ADs and task cards). It tracks aircraft-level maintenance limits and database expiries and shows them in operations. - Automated crew rostering is not available yet; a rostering module is on the public roadmap (see section 20). - Aeriel does not publish prices, customer counts, fleet counts, uptime figures or certifications. Pricing is quoted on enquiry. --- ## 2. Licensing and deployment Aeriel is offered under three licensing models. Prices are not published; contact the vendor. | Model | What it means | |---|---| | **Aeriel Cloud** | Hosted software-as-a-service. Aeriel handles setup, hosting, security and maintenance; the operator logs in and works. | | **Aeriel Lifetime** | One-time purchase. The operator runs Aeriel on its own server and receives full access to the source code - complete control over its data. | | **Aeriel Lifetime in Cloud** | Lifetime licence and source code ownership, with the application running on Aeriel's private servers and managed by Aeriel. | Common to all models: - **Unlimited** users, flights and import of historical data; unlimited aircraft with the Lifetime licence. - Each operator's data, documents and configuration are kept separate from every other operator's. - The operator owns its data. Lists, statistics, finance, duty, RefuelEU and licensing data can be exported to Excel; documents and reports are generated as PDF. - Onboarding includes configuring Aeriel to the operator: aircraft, crew roles, request types, duty rules, safety forms, document templates and permissions. - A support portal with a ticketing system is available to customers for issues and feature requests. --- ## 3. Users and departments Aeriel serves every department of an operator, and each department's dashboard and module comes first for its own users: - **Sales** - Avinode RFQs and broker chat, jobs and quotes, contracts, clients and passengers, empty-leg publishing. - **Flight OPS / Dispatch** - each flight's request checklist until it is ready, handling, schedule changes, flight plans, CTOT and PNR, crew legality. - **Crew (pilots and cabin crew)** - own flights for the next 14 days, logbook entry, duty, licences, recency and airport briefings, often from a phone. - **CAMO / Maintenance** - maintenance limits, AOG and availability blocks, navigation and charts database expiry. - **Finance** - bills and receipts, currency conversion, per diems, Excel exports. - **Management** (Accountable Manager, CEO) - job, flight and bill statistics, AI analysis of filtered data. - **Compliance** - FTL duty warnings and their resolution, ReFuelEU. - **Safety Manager** - safety reports and records, investigations, risk assessment, hazard and risk registers, SPIs, emergency response. - **Information Security** - roles and access rights, two-factor authentication. - **Administrators** - users, roles, system settings. Access is controlled by roles. More than 60 access areas (grouped by module) each take one of five levels: denied, view, view all, modify, modify all. "View" vs "view all" distinguishes a user's own records (for example their own flights or licences) from everyone's. --- ## 4. Platform-wide features - **Real-time collaboration.** Every change appears in every open browser immediately; affected screens update automatically. Menu badges, notification counts and online users update live. - **Works on any device.** Runs in any modern browser on desktop, tablet and phone. Installable as a Progressive Web App (PWA) with web push notifications. - **Dashboard.** Upcoming flights for today and tomorrow; "My flights" for crew (next 14 days with total flight time); homebase flights for maintenance staff; unread mandatory company posts; unclassified airports; missing airport briefings; licence expiry warnings; navigation and charts database warnings; live flight plan status and CTOT; a radar map. - **Notifications.** In-app notification panel plus optional e-mail and web push per notification type and per user. Producers include job and flight changes (STD changes notify ops, sales and the assigned crew), calendar events, flight plan and CTOT changes, flight movements, safety reports and records, squawk alerts, mandatory-read posts, unclassified airports, chat messages and passenger birthdays. - **Global search.** One search box across 20+ data sources: airports, aircraft, flights, jobs, users, roles, partners, contacts, passengers, handlings, caterings, countries, discussions, Avinode trips, NOTAMs, METARs and safety data. Keyword syntax for precision: `airport LKPR`, `handling Luton`, `flight ABC12A`, `phone Maria`, `wx LKPR LKTB LOWW` (weather for several airports at once), `notams EDDB EDDP EDDC`, `flights LKPR-LOWW`. - **Quick Access.** Double-tap Ctrl (Cmd on a Mac) to open a command bar and jump anywhere with short keystrokes, for example `C A` (Calendar, aircraft view), `N J` (new job), `S R` (safety records), or `F` + Enter to open search. - **Widgets, pins and history.** The interface is built from about 90 reusable widgets that open in side panels. Any widget can be pinned to a personal quick-access list; a browse history remembers recently visited items. - **Internal chat and presence.** 1:1 chat with unread badges and push notifications; list of online users (each user can hide their status). - **Notes, tasks and reminders.** Notes on airports, handlings, jobs and other records, with snooze and done workflow and reminder lists. 1-5 star ratings for handling agents and caterers. - **Discussions** attached to jobs, safety records, Avinode trips and other records keep the conversation next to the data. - **Custom airport and country warnings.** Operators define warnings for selected airports or countries (time-limited or permanent), shown in the job detail to selected roles. EASA Conflict Zone Information Bulletins can be imported automatically as country warnings. - **Utility calculators.** Flight time calculator, currency converter (161 currencies), world time converter and ReFuelEU calculator in the header. - **Aviation conventions.** ICAO airport codes; UTC (Zulu) by default with local time where it matters operationally (`2359Z`, `23:59LT`, `01 Jan 2026`); units chosen per aircraft (kg, lbs, litres, US gallons). - **Change history** on records. --- ## 5. Operations: jobs, flights and dispatch ### 5.1 Jobs (trips) and the job editor A **job** is one trip or order - one or more legs for one client. The Operations module lists all jobs with flights in the selected period, filterable by aircraft, aircraft type or aircraft family, with toggles for archived and empty jobs. - **Job statuses:** option, confirmed, cancelled, and Avinode quote. Status changes, archiving and deleting directly from the job card. Jobs can be grouped into job groups. - **Job editor fields:** title, job number (generated automatically or typed), aircraft, crew (captain, first officer and further configurable roles per leg), flight type and characteristic, client and contact (with a quick list of the 20 most frequent clients of the last 12 months), salesman, price and currency, source (e-mail, phone, Avinode, contract, owner, special), status, and a cancellation reason when cancelled (own decision, unconfirmed, unpaid, aircraft unavailable, AOG, crew, duty, permits, slots, weather, other). - **Legs:** date, STD in local time or UTC (a departure inside a daylight-saving change window must be entered in UTC to avoid ambiguity), origin and destination, EET, aircraft, crew per leg, passenger count, cargo flag, alternates, and empty-leg publishing windows. **STA is computed** from STD + EET. - **Flight time suggestion (EET).** Aeriel estimates the flight time from the operator's own history (see 5.4) and from great-circle distance. - **Validation:** overlapping flights of the same aircraft are rejected; turnaround time between legs is indicated (default caution under 35 minutes, warning under 20 minutes). - **"Check Duty" button:** runs a predictive FTL check of the proposed schedule for the assigned crew before saving (see section 8). - **Save behaviour:** each change is compared with the previous version; affected flight requests are invalidated, handling is assigned automatically, notifications are sent to the right people, and every open browser refreshes. - **AI trip cautions:** an optional AI action reviews the job and lists operational issues to watch. - **Job panel:** legs with status stripes, crew, passengers, client, contracts, documents, notes, finance summary, passenger taxes, post-flight status, and scheduled vs actual total flight time. ### 5.2 Callsign-safe job and flight numbers Aeriel generates short alphanumeric job numbers that also serve as flight numbers (callsign suffixes), designed for radio clarity: - **Syllable limit.** Each character carries a spoken-syllable weight (for example "seven" and "niner" count as two syllables) and combinations above the limit (default 5 syllables) are rejected - "One Lima Golf" rather than "Seven Uniform November". - **Weighted character pools.** Characters that are clear on the radio are drawn more often; easily confused characters are rarer, and characters that look alike to controllers (the letters I and O, the digit 0) are not used. - **Similarity check against the live schedule.** Before a number is assigned, it is compared with every flight number active in the same period; a candidate that is too similar (for example 71B vs 17B) is discarded and a new one generated. Calendar warnings also flag similar flight numbers created manually. - **Uniqueness** within a configurable window (default 6 months). ### 5.3 Flight requests and readiness (the dispatch checklist) Every flight has a checklist of operational requests for its origin and destination. The request types, their behaviour and their tolerances are configured per operator. Default categories: - **Airport:** handling, parking, slots, PPR, opening hours extension, ambulance tarmac access, fire category increase - **Permits:** overflight, landing - **Documents:** EAPIS, waiver, GENDEC - **Visa:** crew, passengers - **Aircraft services:** fuel, catering - **Ground services:** crew hotel (including day-stay, early check-in and late check-out), crew transfer, passenger hotel, passenger transfer - **Other** How it works: - **Statuses:** required -> requested -> confirmed. A flight is **ready** when all its requests are confirmed, and its readiness is shown everywhere the flight appears. - **Presets:** requests are created automatically on new flights (for example crew hotel only away from homebase and only when the turnaround is long enough; ambulance access only for hospital and medevac flights). - **Smart invalidation:** when a flight changes, only the requests affected by that change are reset to "required" for review. Each request type defines which changes invalidate it (aircraft, flight number, STD, STA, origin, destination, handling, routing, crew, passengers, characteristic) and a **time tolerance** within which a time change does not invalidate it (for example GENDEC 180 minutes, visas 720 minutes, parking 60 minutes). A per-save switch can suppress invalidation. - **Remembered requests** per airport carry over to future flights. ### 5.4 Flight time estimation Aeriel predicts flight times from the operator's own data: 1. It loads all flown legs with the same origin and destination by any aircraft of the same aircraft-type family (training flights excluded). 2. With more than 5 historical legs it uses the **median**; with 5 or fewer, the **average**. 3. The result is rounded up to 5 minutes. 4. As a fallback or comparison, it divides the great-circle distance by the aircraft's own speed profile (average speeds per flight-duration band, interpolated near band boundaries). The estimate is used for EET suggestions in the job editor, in the header calculator, and to verify flight times in Avinode quotes. ### 5.5 Handling - Handling agents per airport, with contacts, preferred agent per airport, ratings and notes. - Handling is **assigned automatically** to new flights (preferred or previously used agent, considering the aircraft's previous and next flight), and can be changed or explicitly set to "no handling" per side. - **Handling request e-mails:** pre-filled handling, slot, PPR, fuel and other requests sent to the agent with the flight data merged in, CC to the OPS group, with configurable attachments; statuses are tracked per request, and the job shows an overview of all its handling requests. ### 5.6 Passenger taxes and fees Per-flight calculation of passenger taxes and fees shown in the job panel, including UK Air Passenger Duty (APD), Italian luxury tax, French solidarity tax and Portuguese carbon tax. ### 5.7 Passengers and manifests - Passenger register with travel documents (passports, national ID cards, diplomatic passports, ETA, residence cards and other types) with number, nationality and validity, plus links to the client contact and birthday reminders. - Passengers assigned per flight; passenger count stays in sync. - Printable passenger manifests. - **AI Passenger Data Extractor:** upload a scan of a passport or national ID card, or paste free text, and Aeriel extracts the passenger data automatically (OCR plus AI). ### 5.8 Documents - **Generated job documents** (the set is configured per operator): Charter Offer (built from Avinode quote data), Charter Agreement, Charter Summary, Proforma Invoice, Dangerous Goods form, and **GENDEC** (General Declaration, standard and editable PDF) filled with the current crew and passenger data. Operators can add their own static documents (terms and conditions, forms). - **E-mail documents** to the client (BCC sales) or to the crew (BCC OPS) with templated messages. - **Crew attachments:** a section where the crew has all flight-relevant documents at hand. - Document storage on any record: multi-file upload, image rotation, archive, preview, Outlook .msg viewer. ### 5.9 Contracts Contracts per job with partner and contact, condition text blocks, and one-click **Sent / Signed / Paid** status tracking; a contracts overview for the selected period. ### 5.10 Empty legs - Lists unpublished and published empty legs (confirmed future ferry legs with no passengers or cargo). - Publish to **Avinode Marketplace** (with an availability window) and to **JetYou**. - Calendar suggestions such as "connect these two subsequent empty flights", with the flight time that would be saved. ### 5.11 Flight plans, CTOT and movements Through the CTOT App integration (see 12.4) every flight shows its filed flight plan, status, CTOT and timeline, and flight movements (off-block, take-off, landing, on-block) can be filled automatically from flight plan data. Changes trigger e-mail and in-app notifications per cause (state change, CTOT change, operational status, airport change), each with its own recipient list. --- ## 6. Calendar and scheduling The calendar is the operator's shared timeline of aircraft, crew and events. - **Views:** overview (flights and events in sections), by aircraft, and by crew member. - **Aircraft events:** maintenance, AOG, aircraft not available, aircraft training, MX limit (generated automatically from maintenance limits), Avinode marketing position, Avinode empty leg. - **People events:** on duty, day off, holiday, sick day, doctor/medical, home office, not available, training, meeting, plus free-form events. Each type defines which other events it may overlap and who is notified. - **Live warnings** on the timeline: overlapping flights; route discontinuities (an aircraft or crew member who is not where the next flight departs - required positioning); duty problems; missing crew airport qualifications; unpaid trips; flights scheduled into maintenance limits or onto unavailable aircraft; similar flight numbers; empty-leg opportunities. - **Flight plan data on the calendar:** status, CTOT and filed time on each flight strip. - **Personal iCal feeds** for phones and Outlook (own flights and events, optionally notifications), with setup instructions. --- ## 7. Post-flight: logbook, finance and per diems ### 7.1 Logbook Leg-by-leg entry of actual data: block-off, take-off, landing and block-on times (UTC), landings and night landings, fuel uplift and fuel on/off block (units per aircraft), passengers, cargo, flight type and characteristic, crew per role including **pilot flying**, IFR time and night time, remarks. - **Night time is calculated automatically** from route and date (astronomical calculation, 2-minute accuracy). - Saving the logbook feeds duty records, statistics, ReFuelEU, crew recency, pilot experience and the job's actual flight times. - ReFuelEU fuel breakdown fields appear where the regulation applies (see 9.1). ### 7.2 Finance (bills) - Expenses and income per job from a configurable item catalogue: handling, airport fees, fuel, catering, aircraft provisions, taxi, crew transfer and hotel, passenger transfer and hotel, airline tickets, approach fees, and more. - **Automatically generated items:** Eurocontrol route charges, aircraft rent, crew costs and crew per diems. - Per bill: date, place, items, payment method (credit card, invoice, cash, carnet, fuel release), price and currency with **automatic conversion** to the base currency, fuel receipt data, attachments, accounting flag (who and when). - **Profit per job** (contracted price, income, expenses), Excel export of job bills, and a print queue for bill receipts. ### 7.3 Per diems Automatic crew per diem calculation from per-operator profiles (validity period, domestic country, currency and a rate table based on block time), a whole-month view showing days off and holidays, Excel export, and an automatically generated per diem bill per job. --- ## 8. Crew duty and FTL compliance Aeriel validates flight and duty time limitations predictively, before the flight, and confirms them from actual data after the flight. The default rule set follows EASA ORO.FTL-style limits; each operator's rule set (including its approved schemes) is configured individually. - **Predictive duty:** planned flights are turned into predicted duty for each crew member, so planners see exceedances well ahead - **even before crew is assigned** (TBA crew prediction). Every job save or status change re-checks the affected crew. The job editor's "Check Duty" button tests a schedule before it is saved. - **Confirmed duty:** generated from the logbook after the flight, combinable with predicted duty. - **Duty events:** flight, positioning, simulator, ground training, standby, office, medical and other duty ("Other Duty"). - **Rules validated** (limits per operator configuration): maximum flight duty period by start time and number of sectors, including extended and split duty variants; minimum rest (homebase and away), rest at least as long as the preceding duty, rest around extended duty, weekly rest; split-duty breaks; rest after time-zone crossings; cumulative block time and duty limits over rolling periods; minimum days off per month and quarter. - **Briefing and debriefing times**, FDP start mode, rounding and taxi time are configurable. - **Exceedance workflow:** every violation becomes a duty warning with "actual vs limit" detail. Warnings are resolved with a recorded method (internal resolution, reported to authority, extra flight duty allowed, corrected wrong data, no action, other). - **Duty records:** incomplete records, monthly lists per crew member, exceedance list, a duty graph, and a human-readable overview of all rules in force. Records lock 24 hours after the day (editable afterwards only with a dedicated permission). - A duty "what-if" simulation is available to the AI assistant and MCP clients. --- ## 9. Regulatory compliance ### 9.1 ReFuelEU Aviation (anti-tankering) ReFuelEU Aviation (Regulation (EU) 2023/2405) requires aircraft operators to uplift at least 90 % of the fuel they need for departures from Union airports, to prevent fuel tankering. Aeriel automates the operator's side: - **Union airport tracking:** every applicable departure is identified automatically (applicable flight types and characteristics are configurable). - **Yearly tankering ratio per airport:** fuel uplifted vs fuel required, compared with the 90 % threshold. A ratio of 90 % or more is compliant. Airports are listed as violated or OK, with a per-flight drill-down. - **Fuel figures in the logbook:** burn-off (trip, taxi), safety fuel (contingency, alternate, final reserve, additional, extra, discretionary, other safety reasons) and economic tankering fuel. - **Remarks and justification** per leg for non-compliant situations. - **Export for reporting:** Excel export per aircraft and year with the data columns required for the official reporting sheets, plus "applicable / not applicable" and "justifications and remarks" columns. Fuel units: tonnes, kilograms or pounds; specific aircraft or the whole fleet. - A ReFuelEU calculator in the header. (Aeriel released this in two stages: "Phase One", tracking and calculation, in March 2025; "Phase Two", export and reporting, in December 2025. These are Aeriel release names, not phases of the regulation.) ### 9.2 Passenger data (PNR, API, eu-LISA) and sanctions - via PNRGo - Readiness check per flight with a list of missing items. - Send flight, crew, passenger and movement data from Aeriel through PNRGo to the authorities of each country involved; follow the state per country authority (arrival and departure) and the event log. - After submission, PNRGo pushes the mandatory follow-up messages (for example T-24h and T-2h) automatically; changes of ETD and actual movements are **propagated automatically** (Auto-Movements); deleting a submitted flight sends a cancellation automatically. - Aeriel detects local changes made after the last submission. - PNRGo's sanctions-list monitor warns about potential issues with scheduled passengers. ### 9.3 Other compliance support - **FTL** - section 8. **Safety Management System** and **Part-IS** (information security) - section 10. **Crew licensing, recency and Category B/C airport briefings** - section 11. - **Emissions:** CO2 calculated from fuel used (3.16 kg CO2 per kg of fuel) in flight statistics. - **Audit trail:** mandatory-acknowledge company posts record who confirmed what and when (section 13). --- ## 10. Safety Management System (SMS) The Safety module keeps safety data in one integrated system across three areas: the **Safety Library**, **Safety Reporting** and **Emergency Response Guidance**. ### 10.1 Safety reporting - **Report forms designed in-app:** the operator builds any report form (flight reports, bird strikes, TCAS RAs, air traffic events, maintenance events, anonymous reports) with a form editor and preview, and publishes it to staff. Reports are categorised as mandatory or voluntary. - **Confidential reporting:** confidential reports are delivered with a random delay so that the timing cannot identify the reporter. - Every employee can report from any device. Safety staff are notified of new reports by notification and e-mail; reports can be locked, edited and downloaded as PDF. - **Squawk alert:** an urgent alert notification to configured people. ### 10.2 Safety records and investigations - **Record categories:** event, information, task, audit, management of change, information security, other event. Each category switches on the sections it needs: classification, investigation, risk assessment, safety performance, mitigation, tasks and review. - **Investigation workflow:** responsible users, linked reports and related records, tasks, tags, attachments, discussion, close and reopen, review date and review result, and a pending-review warning. - **Risk assessment:** probability (1 Extremely improbable - 5 Frequent) x severity (A Catastrophic - E Negligible) with a tolerability matrix (acceptable, tolerable, intolerable); scales are configurable. - **Final report:** generated PDF ("Hazard Log and Safety Risk Assessment Record" or investigation report). ### 10.3 Safety library and performance - **Hazard and risk registers** by category (personnel, human factors, operations, technical, environmental, information, company, other), linked to records as actual or potential, with "Top 10 hazards and risks in the past 6 months". - **Mitigation measures** (new and existing) linked to risks and records. - **Safety performance indicators and targets (SPIs and SPTs)** with periodic entries and safety performance evaluation; SPI categories include reports, flight operations, training, technical events, ramp checks, investigation conclusions, risk management, psychoactive substances and information security. - **Safety statistics** with filters, charts, Excel export and AI analysis. - **Part-IS:** an information security record category, information security SPIs, and cyber/IT incident guidance support compliance with the EU Part-IS regulation. ### 10.4 Emergency Response Guidance Available to every employee for emergency use: guidance by type of emergency (aircraft accident, emergency or anonymous call, injury, cyber/IT incident and others), step-by-step checklists (for example "record what, where, when, injuries, damage, who is calling"), an emergency data record shared across the company, and responsible persons and useful contacts. ### 10.5 AI Safety Assistant See section 14. Generates event descriptions, final report text, conclusions and findings; detects hazards and risks (matching the existing registers or proposing new entries); suggests mitigation measures; and answers questions such as "What is the potential worst outcome of this event if the risks are not mitigated?" --- ## 11. Training, licensing and recency - **Licences and documents per person:** licence types are configured per operator in categories (personal, travel, proficiency, training, airports, other) - for example licences, medicals, type ratings, proficiency checks, training courses, passports and ID cards. Each entry has number, issue and expiry dates and scanned attachments. - **Expiry warnings** on the dashboard and in the overview; an **overview matrix** of all crew vs all tracked licence types with colour status; per-person tracking switches. - **Training certificates:** PDF certificates generated for in-house training courses; Excel export of licences. - **Recency:** landing recency per aircraft type or type family (default 3 landings in 90 days; night requirement configurable), counting pilot-flying landings, passenger flights and simulator landings as configured. - **Pilot experience** per aircraft type, distinguishing variants. - **Simulator records** that feed recency and duty. - **Airport categories and briefings:** airports are classified A, B, C or unrated. Category B and C airports can require a briefing that each pilot confirms, valid for a configurable period (default 365 days), with a configurable briefing checklist. Missing briefings are computed against each pilot's upcoming flights and shown on the dashboard. Category C airport qualifications per pilot are tracked with expiry. Unclassified airports used in operations are flagged for classification, and categories can be exported to Excel. --- ## 12. Aeriel AI Aeriel AI is an assistant persona ("Hello! I am Aeriel") built into the product. It works on the operator's own data and respects the user's permissions. Each AI feature can be enabled or disabled per operator. AI condenses and suggests; the underlying data stays authoritative for decisions. | Feature | What it does | |---|---| | **Statistics Insights** | One-click analysis of the currently filtered flight, job, bill or safety statistics, with preset prompts (basic analysis, deep analysis, anomalies, strengths and weaknesses) and follow-up questions in plain language, for example "Which trips had the best profit to flight time ratio?" | | **Safety Assistant** | Event descriptions, final report text, conclusions and findings, hazard and risk detection against the operator's registers, mitigation suggestions, executive summaries. | | **Passenger Data Extractor** | Extracts passenger data from scanned passports and national ID cards (OCR + AI) or from pasted text. | | **NOTAMs Summary** | Condenses long NOTAM lists into current and upcoming operationally relevant points. | | **Weather analysis** | Current conditions, trends, forecast and operational impact (crosswind, visibility, ceiling) from METAR and TAF. | | **Trip cautions** | Reviews a job and lists operational issues to watch. | | **Company documents knowledge** | The operator's manuals and documents (PDF) are indexed so the assistant answers with grounded references to them. | | **General AI chat** | For authorised users: a chat that can use every tool in the system - flights, jobs, duty, licences, safety, weather and more - to answer questions across modules. | | **MCP server** | The same tool layer exposed to external AI agents (section 12.6). | Roadmap: AI for the dispatch module, for greater situational awareness and operational control. --- ## 15. Statistics and business intelligence Four statistics modules - **Flight**, **Job**, **Bill** and **Safety** statistics - share one framework: - **Filters:** period, aircraft, aircraft type and family, airports (exact or prefix, for example `LK`), country, continent, crew member, pilot flying, flight types and characteristics, job and flight numbers, client, salesman, booking source, payload (passenger or ferry) and more, with multi-selection. Scheduled flights can be included to forecast, for example, a crew member's flight time to the end of the month. - **Columns, grouping and totals:** choose columns, group by any dimension (aircraft, month, client, ...), totals, averages and **medians**, first or last N results, ordering by any column. - **Saved presets** per user. - **Charts:** column, bar, line, area, circle/share and polar charts, plus a route map. - **Excel export** of detail and summary. - **AI analysis** of the filtered dataset (section 14). Examples of questions the filters answer: - Total flight time per client this year. - Average profit of all medical flights booked by phone last year, grouped by aircraft. - All cargo flights to Italy on the operator's Citation Excels with a given captain who was pilot monitoring. - Median price of handling services or crew transportation at an airport. What each module measures: - **Flight statistics:** block and flight times, taxi time, scheduled vs actual time, IFR and night time, landings, fuel uplift and fuel used (also per hour), CO2 emissions, passengers, crew, clients. - **Job statistics:** scheduled vs actual flight time, status, client, salesman, source, invoicing and payment flags, logbook and completion status, contracted price, income, expenses and profit. - **Bill statistics:** expenses by item, place, payment method, aircraft and job, in original and base currency. - **Safety statistics:** reports and records by type, category, hazard, risk and outcome. --- ## 16. Maintenance limits and aircraft data (CAMO support) - **Maintenance limits per aircraft** by calendar date and by flight hours, with warnings ahead of time (default 10 days or 10 flight hours). Upcoming limits appear on the calendar as automatic "MX limit" events, and flights scheduled beyond a limit are flagged. - **Navigation database and MFD charts database expiry** per aircraft, with dashboard warnings (default 7 days ahead). - **Maintenance, AOG and unavailability events** on the calendar block the aircraft visibly for sales and dispatch and are synced to Avinode. - **Aircraft register:** registration, colour, type and family, category (VLJ, light, midsize and heavy jet, airliner, turboprop, piston, helicopter), internal or external operator, homebase, maximum passengers, speed profile, weight and fuel units, finance rates (rent and crew cost for automatic bills), and per-aircraft Avinode and JetYou publishing. --- ## 17. Master data - **Airports:** global database with ICAO/IATA codes, coordinates, elevation, time zones and daylight-saving rules, runways (default caution under 6,500 ft, warning under 5,000 ft), CDM airports, ReFuelEU applicability, category A/B/C. The airport detail shows upcoming and past flights, handling agents and caterers, airport costs, briefings, charts, NOTAMs, METAR/TAF and ReFuelEU data. - **Countries:** codes, time zones, PNR-enabled status, warnings. - **Handling agents** and **caterers** per airport, with contacts, preferences, ratings and notes. - **Partners** (clients, brokers, operators) and their **contacts**, with frequent-client statistics. - **Passengers** with travel documents (section 5.7). - **Users** with positions, roles, homebase, aircraft assignments, account lock and two-factor reset. --- ## 18. Security and architecture - **Separation of operators:** each operator's data, documents and configuration are kept separate from every other operator's. - **Authentication:** personal accounts with **two-factor authentication** using an authenticator app, which the operator can make mandatory, and protection against password guessing. - **Authorisation:** role-based access with five levels per access area across more than 60 areas. - **Traceability:** change history on records and the mandatory-acknowledge trail. - **Technology:** a web application with live updates, installable as an app (PWA) with push notifications. Lifetime licensees receive the full source code; technical details are shared with customers during evaluation. --- ## 19.
